When Iron Roots Fitness came to us, they had a problem that many growing gyms face: their marketing was working, but their follow-up wasn’t keeping up.

2. Qualification flow The agent asks a short set of questions: What are your main goals? Have you trained in a gym before? What days work best for you? This both qualifies the lead and starts building a relationship.

3. Direct booking Once the lead is qualified, the agent offers available trial session slots and books them directly into the gym’s Acuity calendar — no back-and-forth, no waiting.

4. Handoff for complex queries Anything the agent cannot handle (pricing negotiations, specific injury queries, complaints) is immediately flagged to James with a full transcript so he can pick up the conversation with full context.
